Tips & Tricks for More Efficiency

When running an online business, there are so many importantdetails to remember to take care of. Between the websitemaintenance, answering emails, writing articles, organizing adswaps, searching for ezine content, etc., etc., we tend to get alittle overwhelmed sometimes.I would like to share some of my timesaving tips & tricks that Iuse to help me get things done more efficiently.*Ezine PublishingSave each issue of your ezine and just change what is necessaryfor each issue. When you come across a resource you would liketo share with your readers, you can then just open up thetemplate and slap the resource in place.Print out all your ad swaps and write the date that each ad willrun as you finalize each swap. Keep them all in their own filefolder, so each week (or when your ezine is published) when yougo through them, the dates will be easily seen and the ads willbe organized. I find that this way of organizing my swaps ismuch easier than searching through email folders and floppiesfor the correct ads to run for each issue. I also use thismethod with my ad sales.Keep all your past issues on floppy or CD, so when you reusesome of your ads or promotions you can just copy and paste intothe current issue.*Writing & Submitting ArticlesYou definitely want to have an idea notebook. Each time you getan idea for an article, write it down in the notebook. I usuallyget my ideas as I am getting Web Success ready to send out, butwhen I do get an idea between issues, I will write it down.As you are writing the article, think to yourself, whatinformation did I need and/or want to know about this subjectwhen I was first starting. Just start writing as if you weretelling a friend or family member about it. For me, it flowsmore naturally that way.Have all your editor emails and article list addresses saved intheir own email file. Also, save your "Dear Editor" email. Whenyou finish each article, paste it into the saved email, copy andpaste your editor addresses into the Bcc line and click send.Next open your saved article list email, paste the currentarticle into it, paste the list addresses into the Bcc line andclick send. What could take an hour or more now takes about 10minutes.*Answering EmailsIf you are in affiliate programs, write and save a welcome emailfor each program. As you are notified of new members, go to yoursaved welcome messages, change the name and email address andclick send. This is much more efficient than writing a newmessage for each new member.Have email folders for organizing your emails. If they do notrequire an answer you can then just put each one into itsproper folder. If they do require an answer, then drag them overto their folder after you answer each one. Of course, you wantto save them to floppy or CD before distributing in folders. Ihave folders, for ad swaps, ad sales, subscribers, new affiliatemembers, affiliate sales, contacts, feedback, resources, salesmade from my website, etc., etc. Each of these folders also hasa floppy or CD backup.*Website AdditionsIf your webpages are uniform, it is easy to make a new page. Ijust go to an existing page, copy the whole page, paste it intothe new page, change the wording that needs to be changed andthe page is finished.I also use this method with sections of pages that I need. Copythe part of the code that you need and just paste it into place.This saves countless minutes of typing!!These are just a few of the things that work for me. I realizethat they might not work for everyone. If you have your ownmethod that works for you, that is great! One method definitelydoes not work for all, but if you are looking for ways to getyour business organized, these ideas might work for you!
